This privacy policy explains what data Horeca@Network keeps, why, for how long, who can see it and what your rights are. We describe what the platform actually does, not what it could do.
Who is responsible
Horeca@Network is an initiative of Mohawi BV, Hospitality Group, company number BE 1029 490 001, with its registered office at 9111 Belsele, Bruin de Beerlaan 16. We are responsible for processing your data. For anything about this policy or your data, reach us at hello@horeca.network.
What data we keep
- Company details: name, VAT number, postcode, municipality, type of business, your description, logo and banner, and the contact details you fill in yourself (address, opening hours, phone, website, email address, social media).
- Account details: per person, first name, last name, email address and role in the company. We cannot read your password: it is stored encrypted by our authentication service.
- What you publish: posts and events with their text, images, links and promo codes.
- Messages: when a member contacts a provider through a post, we keep that message with the sender's name and email address.
- Network: which companies you follow, which posts you mark as interesting and which posts you have already seen.
- Events: your registrations, the first and last names of the people you register, your comment, your price, and whether your company may be shown under "Who's coming?".
- Credits, plan and billing: your plan, requests to change it, credits bought and spent, orders, and what was invoiced or paid.
- Rewards: when you claim a partner promotion to earn credits, we keep your purchase reference and date, any comment and who submitted the claim.
- Consents: whether you want to receive the newsletter, which version of the terms and conditions you accepted, and when.
- Usage data: we count how often a post is viewed, clicked or contacted. For visitors who are not signed in, this is anonymous.
- Technical data: for security and to keep the platform running, our hosting partners keep technical log files for a short time, including your IP address. We do not use them to track you.
Why we keep it, and on what basis
- To perform our agreement with you: running your account and company profile, showing your posts and events, delivering messages, handling registrations and credits, and sending the emails that come with your account (confirmation, password, notices about your posts, registrations and claims).
- Legal obligation: invoicing and accounting.
- Legitimate interest: reviewing posts before publication so the network stays reliable, preventing abuse and fraud, securing the platform, and showing providers how their posts perform based on counts, not on profiles of individual visitors.
- Consent: the newsletter. You only get it if you tick it yourself, and you can withdraw your consent at any time.
We do not sell your data and do not use it to target advertising at you.
Who can see your data
The platform restricts access in the database itself, not just on screen.
- Everyone, including visitors who are not signed in, sees your company profile with the contact details you make visible, and your published posts and events. Promo codes and links on an offer are only visible to signed-in members.
- Other members see your company under "Who's coming?" at an event only if you choose so. Who follows you, or what you find interesting, is shown as a count.
- Messages are only visible to the sender and the recipient.
- Your statistics are only visible to your own company.
- If you claim a partner promotion, that partner sees your company name, your VAT number, the email address of the person who submitted the claim, your reference, the purchase date and your comment, so they can confirm your purchase.
- The Horeca@Network administrators see more, because they review posts, organise events and handle billing.
Parties that help us
These parties process data on our behalf and only for us:
- Supabase: database, authentication and image storage. Servers in EU (Paris).
- Vercel: hosting of the website.
- Combell: sending the platform's emails.
- Billit: invoicing and accounting.
- Mailchimp: sending the newsletter, only to people who subscribed.
Supabase and Vercel are American companies. Where data ends up outside the European Economic Area, this is based on the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.
How long we keep it
- Your account, company profile, posts, network, registrations and consents: as long as you are a member. If you delete your account, all of it disappears immediately, together with your images. Accounts nobody has signed in to for three years are deleted after a warning by email.
- Messages: deleted automatically three months after sending. If you delete one yourself, it is gone for good after seven days.
- Invoices and accounting records: ten years, as Belgian tax law requires. We keep these in our accounting, also after your account has been deleted.
- Technical log files: a few days, with our hosting partners.
Cookies and local storage
We use no tracking cookies and no advertising cookies. Your browser only stores what the platform needs to work: your login while you stay signed in, your language, and which posts you have already opened so the feed shows you new things. For visitors who are not signed in, the browser stores a random code so the feed keeps the same order that day; that code never leaves your device. None of this requires consent. Should we ever use analytics cookies, we will ask for your consent first.
Your rights
You have the right to access your data, to have it corrected or deleted, to restrict its processing, to object, to receive your data in a portable format, and to withdraw a consent. You can do much of this yourself:
- Access and download: My Company › Your data › Download data gives all of your company's data in one file (for the account owner).
- Correct: change your company profile and your name under My Company.
- Delete: My Company › Your data › Delete account (for the account owner).
- Newsletter: subscribe or unsubscribe under My Company, or with the link in every newsletter.
For everything else, an email to hello@horeca.network is enough. We reply within one month.
If you disagree with how we handle your data, you can lodge a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be.
